Email attachment too large: what helps?

Last reviewed: 9 October 2026.

What counts toward the limit?

An email limit can apply to the entire message rather than one attachment. Multiple files then share the available budget. Transfer encoding increases the message size further, so an attachment just below a stated limit can still be rejected. Check both your provider and the recipient instead of assuming one universal limit.

Which file should I reduce?

Start with large photos or scanned PDFs. Photos often contain more pixels than the purpose requires. For searchable PDF text, smart optimization first attempts to preserve document structure. Image resolution matters more for scans. Raster compression can remove interactive content and selectable text.

What should I do?

Choose a target with margin, compress a new copy and inspect small text, stamps and signatures. Add further attachments afterwards. If splitting is permitted, divide a long document into clearly named sections. ZIP often provides little benefit for already compressed JPGs or PDFs. Keep the original separately for future changes.

What alternatives are available?

If a small limit harms quality or completeness, agree on another transfer method with the recipient. A shared link is not automatically suitable for confidential documents: check access, expiration and recipient requirements. ShrinkBeam does not host file sharing. Local processing does not replace checking the security of the eventual delivery method.
